  • We Use Data to Power Your Growth. The information we handle is used to make our platform, especially your AI assistant Welo, work for you—saving you time, reducing no-shows, and delighting your clients.

The Information We Collect & Why We Need It

We collect the minimum information necessary to provide you with a world-class service.

1. Information You Provide (Our Clients):

  • Account & Business Details: Your name, your business's name, email, phone number, and address.
    • Why we need it: To create and manage your account, provide you with support, and send you important service updates.
  • Service & Staff Details: Your menu of services, staff schedules, and pricing.
    • Why we need it: To power your booking engine so your customers can book the right service with the right person at the right time.
  • Payment Information: Your credit card or bank account details.
    • Why we need it: This is handled by our secure, PCI-compliant payment partner (e.g., Stripe) to process your monthly subscription. We do not store your full payment details on our servers.


2. Information We Process for You (Your Customers/End-Users):

  • Contact & Booking Information: Your customers' names, phone numbers, email addresses, and their appointment history with you.
    • Why we need it: We process this data on your behalf so the system can manage bookings and Welo can send automated appointment confirmations, reminders, and follow-ups. You are the controller of this data. Your business will also be able to send our marketing communications to your customers on promotions via email and SMS.

  • To Deliver an Effortless Booking Experience: The core function of the platform is to manage your schedule flawlessly.
  • To Power Your AI Assistant, "Welo": Welo is designed to be your most valuable employee. To do its job, it securely uses data in the following ways:
    • Conversational Booking: Welo analyzes incoming texts from your customers to understand and fulfill their booking requests, freeing up your phone lines.
    • Suggestive Upselling & Reporting: Welo analyzes your sales data to identify patterns and suggest actionable insights, like which services to promote or which clients might be interested in a membership.
    • Real-Time Translation: Welo processes conversational audio in real-time to provide instant two-way translation, helping you connect with every customer, regardless of language.
  • To Improve Our Service for You: To make Welo and the Zyloe platform smarter and more efficient, our system learns from aggregated and anonymized data. Your specific, identifiable business or customer data is never used to train models for other clients. Your privacy and competitive advantage are paramount.

  • For Our Clients: You can access, update, or correct your business information at any time through your account dashboard. You are the "data controller" for your customer information and can manage it within the platform.
  • For End-Users: We process your data on behalf of our Clients. To exercise your rights to access or delete your data, please contact the business you booked your appointment with directly. To opt-out of marketing messages, use the "unsubscribe" link in emails or reply "STOP" to any text message.


Data Security & Retention

We take the security of your data seriously. We use industry-standard technical and organizational measures to protect your information from unauthorized access or disclosure. We retain your data for as long as you are a client or as required to comply with our legal obligations.
